# Automate eSignatures

Connect Workday and SignNow through Zapier to send documents for signature automatically. For example, you can build a workflow that sends a document for signature whenever a new hire appears in Workday: SignNow creates a pre-filled document package and sends it to the new hire.

Before you build the Zap, connect your SignNow account to Zapier as described in [Getting started](/docs/signnow-workday).

The quickest way to start is from the [Workday + SignNow page on Zapier](https://zapier.com/apps/workday/integrations/signnow). There you can select a trigger from Workday and an action from SignNow, then connect the apps to start building your Zap. Alternatively, create a new Zap from scratch in your Zapier account.

## Build the Zap

### Step 1. Create a template in SignNow

In SignNow, create a document group template (for example, **Employment Agreement Template**) and prepare it for the workflow:

- Add the fields the employee will complete, along with the fields to be pre-filled from Workday, and assign them to the signer recipient (**Employee**).
- Add the HR Manager as an **approver**. Because the approver has no fields to fill, enter the approver's email address directly in the SignNow template.
- Set the signing order so the **HR Manager (approver) is first**, followed by the **employee (signer)**, so the agreement is approved before it reaches the new hire.

### Step 2. Set the trigger

The trigger app is **Workday** with the event **New Hire Created**. Connect your Workday account, then click **Test trigger** to load a sample record.

### Step 3. Add the action

The action app is **SignNow** with the action **Create Document Group From Template Group & Send Invite**. Connect your SignNow account.

### Step 4. Select the template

In **Template Group**, choose your template (**Employment Agreement Template**). Set a **Document Group Name**, for example `Employment Agreement` followed by the employee's name from the trigger.

### Step 5. Map the pre-filled fields

In **Employee | Email**, map the new hire's Workday email address, then add a **Subject** and **Message**. Under **Employee | Custom Field**, map each template field to the matching Workday data:

| Template field | Workday data |
|---|---|
| `employee_name` | Employee full name |
| `employee_id` | Employee / worker ID |
| `employee_title` | Job title |
| `employee_dep` | Department |
| `employee_manager` | Reporting manager |
| `employee_location` | Work location |
| `employee_start` | Start date |
| `employee_salary` | Annual salary |

You do not need to configure the approver here. The HR Manager's email is already set in the template.

### Step 6. Lock the pre-filled fields

In **Employee | Locked Custom Fields**, select the fields above so they are read-only and the signer cannot change the Workday data.

### Step 7. Test the action

Click **Test step**. SignNow creates the document group from the template, pre-fills the fields, and sends the invite in the configured order: the HR Manager approves first, then the employee receives it to sign.

### Step 8. Turn on the Zap

Once the test succeeds, publish the Zap.

> **Result:** Each time a new hire is created in Workday, the employment agreement is generated with their details pre-filled, approved by the HR Manager, and sent to the new hire to sign, with no manual data entry.
