# Send with SignNow

# Send with SignNow

Once the admin configures SignNow integration for the organization, users can send files and SignNow templates for signature, Self Sign documents, and check the signing status from SharePoint Online.

**Pre-condition**: Users must [sign in](/docs/sharepoint-online-installation#sign-in) to their SignNow account to use the integration. The sign-in screen appears when clicking **Send with SignNow** or **Invites Status** for the first time.

## Send a file for signature

Send files for signature directly from a SharePoint Online document library. For more information about document libraries and lists in the integration, see [SharePoint Online entity types](/docs/sharepoint-online-entity-types).

> Supported file types: .pdf, .doc, .docx, .odt, .rtf, .png, .jpg, .jpeg, .gif, .bmp, .xml, .xls, .xlsx, .ppt, .pptx. Maximum file size: 50 MB.

Select one or more files in the library, then click **Send with SignNow** from the toolbar **More (...)** menu or the inline **...** menu on the file.

Alternatively, use a [custom action](/docs/sharepoint-online-admin-tools#custom-actions) configured by your admin.

If a single file is selected, the sending flow opens immediately.

If multiple files are selected, the **Select File** window opens. Set the merge order of the selected files by dragging and dropping them, then configure and send the invite as described in the steps that follow.

> The selected files are merged into a document group. Field mapping applies per document within the group. Recipients are configured for the group as a whole.

- Edit the document name. Recipients see this name in their inbox.

- Click **Continue** to proceed to the editor.

- Manage recipients and CC recipients.
- Add fields and assign them to recipients.
- Add your information using the tools on the top panel or **Me (Fill Out Now)**.
- Click **Save and Close** to proceed to field mapping.

- Optionally, map fields in the document to SharePoint data.
- Click **Continue** to open the Send Invite page.

- Edit the recipient and CC recipients' email addresses and the signing order.
- Customize the invite email subject and message for each recipient.
- If you need to return to document editing, click **Edit**.
- Click the gear icon to show the settings.

- Select a recipient authentication type, set reminders, allow document forwarding, and enable or disable the decline option for the signature field.

- Click **Actions on Completion** to customize the completion flow for recipients.

- Define how to deliver the signed document to recipients, add a redirect link, and set up a payment request if needed.

- To change the document name, click the pen icon.
- Click **Apply** to save the changes.
- Click **Send Invite** (**Send Invite to First Recipient** if recipients receive documents in order) to send the document for signature.

Once all recipients sign, the completed document is saved to the library folder the file was sent from in SharePoint Online, provided **Save completed documents in SharePoint Online** is enabled in [Document Storage](/docs/sharepoint-online-admin-tools#document-storage) settings.

## Send a SignNow template

Send SignNow templates for signature from a SharePoint Online list. For more information about document libraries and lists in the integration, see [SharePoint Online entity types](/docs/sharepoint-online-entity-types).

> Send one list record at a time.

- Go to the SharePoint list.
- Right-click the list record and select **Send with SignNow** from the context menu.

- In the **Select Template** window, select one or multiple templates.

To quickly locate a template:
- Filter templates by type: all, templates, or **Document Group Templates**
- Sort templates by name in ascending or descending order
- Show all templates or only prepared templates
- Switch the view layout between list and grid

Once a template is selected, proceed with the sending flow. The template is pre-configured. Make changes at any step as needed.

> If multiple templates are selected, they are merged into a single document group. Field mapping is configured separately for each template within the group. Recipients are configured for the group as a whole.

> When multiple templates are merged into a single document group, the recipient roles configured in each template need to be assigned to the new invite recipients. Add the recipients first, then assign each existing role to them, or click **Assign All to One Recipient** to assign all roles to a single recipient.

- Change the name of the template if needed.
- [Add and assign fillable fields and manage the recipients](/docs/sharepoint-online-admin-tools#add-fillable-fields-and-manage-recipients) in the editor.
- Check and edit the [data mapping](/docs/sharepoint-online-admin-tools#pre-fill-fillable-fields) between the document fields and SharePoint fields.
- Edit recipient and CC recipient email addresses, invite email subject and message, signing order, authentication and completion settings, and reminders.

If no changes are needed, click **Continue** at every step to send the document group template according to the configuration.

Alternatively, use a [custom action](/docs/sharepoint-online-admin-tools#custom-actions) configured by your admin. Depending on the configuration, the template may be pre-selected, or you may be prompted to select one.

Once all recipients sign, the completed document is attached to the list record the template was sent from in SharePoint Online, provided **Save completed documents in SharePoint Online** is enabled in [Document Storage](/docs/sharepoint-online-admin-tools#document-storage) settings.

## Self Sign a document

Sign documents from a SharePoint Online library without sending them for signature. When your admin configures a custom action with a Self Sign option, clicking the action opens the document in FreeForm invite mode. Place fields anywhere on the document and sign without sending it to recipients.

- Go to the SharePoint Online library.
- Select the file.
- Click **More (...)** in the toolbar or right-click the file and select the [custom action](/docs/sharepoint-online-admin-tools#custom-actions) configured with the Self Sign option.

The document opens in FreeForm invite mode.

- Add available default or custom fields to the document.
- Click **Done** to close the document.
- Download the signed document to your device.

The signed document is saved to the library folder where the original file is located.
