# Glossary

**Signature invite**: A single document or group of documents with or without fillable fields sent for signature to one or multiple recipients.

**Fillable fields**: Editable boxes in the document where recipients can add signatures and data.

**Fill Out Now**: A mode that lets the sender add their own content to the document — text, date, signature, initials, and other fields — before sending it.

**Recipient**: A user who receives the document to fill out, view, or approve.

**Sender**: A user who prepares and sends the document for signature.

**Role**: An action assigned to the recipient by the sender. Available roles include signer, viewer, and approver.
- Signer – fills out and signs the document.
- Viewer – views the document.
- Approver – reviews and approves the document.

**Template**: A document or document group with fillable fields that you configure once and reuse as often as needed. Each time you send a template for signature, a new copy is created.

**Self Sign**: A mode that lets the sender sign a document without sending it to recipients. When a custom action is configured with a Self Sign source, it opens for the user as a FreeForm invite.

**Document flow**: A reusable configuration that defines invite settings, recipients, and email content for a document or document group. Applied when sending documents for signature to ensure consistent settings across all invites.

**Custom action**: A reusable button in SharePoint Online configured by an admin to trigger a specific SignNow workflow. Custom actions can send a pre-selected SignNow template, prompt the sender to select a template or file, or open a document for self-signing. A pre-configured document flow can be included to apply consistent invite settings.

**Default fields**: Standard SignNow field types built into the document editor, available to all users without any setup. Examples include signature, initials, text, date, checkbox, and dropdown.

**Custom fields**: Pre-defined fillable fields configured once in the SignNow UI and reused across documents. Custom fields retain their name, type, size, and validation settings.

**CC recipient**: A user who receives a copy of the document by email but is not required to fill out or sign it.

**Text tags**: Markers embedded in a .docx file that are automatically converted into fillable fields when the document is uploaded to SignNow.

**FreeForm invite mode**: A document mode where fields can be placed anywhere on the document. Used for self-signing via the Self Sign custom action.

**Document group**: A group of documents sent together as a single invite to one or more recipients.

**Data mapping**: A configuration that links SharePoint list fields to document fields, so document fields are automatically pre-filled with SharePoint data when an invite is sent.
