# Send with SignNow

# Send with SignNow

Send files and SignNow templates for signature from a Procore record, sign documents yourself, and check signing status. These tools are available once your admin has configured the integration for the company.

**Pre-condition**

Users must sign in to their SignNow account to use the integration. The sign-in screen appears when opening the SignNow side panel for the first time.

To open the side panel, go to a supported Procore record and click **SignNow** in the dock on the right edge of the page. For the list of supported records, see [Supported Procore record types](/docs/procore-record-types).

The side panel has two sections: **SEND FOR SIGNATURE** and **DOCUMENT STATUSES**.

## Send a file for signature

Send files attached to a Procore record for signature.

> [!NOTE]
> For supported file types, see [Create a template](/docs/procore-admin-tools#create-a-template). Maximum file size: 50 MB.

To trigger sending, click **From this record** in the SignNow side panel.

Alternatively, use a custom action configured by your admin.

If a single file is attached to the record, the sending flow opens immediately.

If several files are attached, the **Select File** window opens. Select one or more files and set the merge order by dragging and dropping them, then follow the steps below to configure and send the invite.

The selected files are merged into a document group. Field mapping applies per document within the group. Recipients are configured for the group as a whole.

- Edit the document name. Recipients will see this name in their inbox.
- Click **Continue** to proceed to the editor.

- Manage recipients and CC recipients.
- Add fields and assign them to recipients.
- Add your information using the tools on the top panel or **Me (Fill Out Now)**.
- Click **Save and Close** to proceed to field mapping.

- Optionally, map fields in the document to Procore data. See [Pre-fill fillable fields](/docs/procore-admin-tools#pre-fill-fillable-fields).
- Click **Continue** to open the Send Invite page.

- Edit the recipient and CC recipients' email addresses and the signing order.
- Customize the invite email subject and message for each recipient.
- Click the gear icon to show the settings. Select a recipient authentication type, set individual expiration and auto reminders, allow document forwarding, and enable or disable the decline option for the signature field.
- Click **Apply** to save the changes.
- Click **Send Invite** (**Send Invite to First Recipient** if recipients receive documents in order) to send the document for signature.

Once all recipients sign, the completed document is saved to Procore according to the [Document storage](/docs/procore-admin-tools#document-storage) settings.

## Send a SignNow template

Send SignNow templates for signature from a Procore record.

- Go to the Procore record and open the SignNow side panel.
- Click **From a template**.
- In the **Select Template** window, select one or multiple templates.

To quickly locate a template:

- Filter templates by type: **All Types**, **Templates**, or **Document Group Templates**
- Show **Only Prepared Templates** or all templates
- Sort templates by name in ascending or descending order
- Switch the view layout between list and grid

> [!NOTE]
> Templates need fillable fields to be sent for signature. Use the **Only Prepared Templates** filter to list the templates that are ready to send. If a template you need is unavailable, ask your admin to add the fields.

Once a template is selected, proceed with the sending flow.

The template is pre-configured. Make changes at any step as needed.

If multiple templates are selected, they are merged into a single document group. Field mapping is configured separately for each template within the group, and recipients are configured for the group as a whole.

> [!NOTE]
> When multiple templates are merged into a single document group, the recipient roles configured in each template need to be assigned to the new invite recipients. Add the recipients first, then assign each existing role to them, or click **Assign All to One Recipient** to assign all roles to a single recipient.

- Change the name of the template if needed.
- Add and assign fillable fields and manage the recipients in the editor. See [Add fillable fields and manage recipients](/docs/procore-admin-tools#add-fillable-fields-and-manage-recipients).
- Check and edit the data mapping between the document fields and Procore fields. See [Pre-fill fillable fields](/docs/procore-admin-tools#pre-fill-fillable-fields).
- Edit recipient and CC recipient email addresses, invite email subject and message, signing order, authentication and completion settings, and reminders.

If no changes are needed, click **Continue** at every step to send the document group template according to the configuration.

Alternatively, use a custom action configured by your admin. Depending on the configuration, the template may be pre-selected, or you may be prompted to select one.

Once all recipients sign, the completed document is saved to Procore according to the [Document storage](/docs/procore-admin-tools#document-storage) settings.

## Sign a document yourself

Sign documents attached to a Procore record without sending them for signature. When your admin configures a custom action with the **Self Sign: sign the document without sending** source, clicking the action lets you pick a file attached to the record and sign it yourself.

A file with no fillable fields opens as a FreeForm invite, where you place fields freely anywhere on the document.

- Go to the Procore record.
- Open the SignNow side panel and click the custom action configured with the Self Sign option.
- The **Select File** window lists the files attached to the record. Select the file to sign. Use **Search** and the **All File Types** filter to find a file.
- Click **Continue** to proceed. Alternatively, click **Back to Record** to cancel.

The document opens for signing.

- Place the fields you need on the document. On the **Default** tab, the available tools are **My Signature**, **My Initials**, **My Stamp**, **Text**, **Today's Date**, **Check**, and **Line**. Your saved custom fields are on the **Custom** tab.
- Select a placed field to format it in the panel on the right, or use the field toolbar to move, duplicate, or delete it.
- To rename the document, click the pencil icon next to the document name.

- Click **DONE** to finish signing and close the document.

The **Document Complete Successfully** page confirms that you have completed the document. Click **Download Document** to save the finalized copy to your device.

The signed document is saved to the Procore record according to the [Document storage](/docs/procore-admin-tools#document-storage) settings.

> [!NOTE]
> Self Sign does not use a document flow and sends no invite. The document is completed as soon as you click **DONE**.
