# Templates

On the **Templates** tab, NetSuite admins can access existing templates and document group templates from the SignNow account or create and edit a new template/document group template.

The following actions are available:

## Create a new template

Create the new template or document group template without leaving NetSuite.

Click **Create New Template** and select the documents you want to add to the group. You can select multiple documents at a time.

Once the new template or document group template is created, it will appear in the **Templates** tab.

Each template shows its location beneath its name, displayed as team or workspace name > folder name (for example, [netsuite integration] > [Team Templates]).

>Templates created by NetSuite users are stored in the Templates folder in their default workspace Team. For where each item is saved, see [Team folders in SignNow](/docs/netsuite-installation#team-folders-in-signnow).

## Add fillable fields

Improve the signing experience by customizing documents in the SignNow editor.

Click **Add Fillable Fields** to open the document group template in the editor. 

You can add fields to documents, assign them to recipients, and manage recipients.

Click **Manage Recipients** to manage a signing order, add email addresses, and CC recipients.

Click **More (…)** to explore additional options.

Click **Save and Close** to save document edits.

## Pre-fill fillable fields

**Pre-fill documents** with NetSuite data and **update NetSuite records** using data mapping.

Click **Pre-fill Fillable Fields** next to the document group template to start mapping fields in documents with NetSuite records.

- Select the NetSuite record type to use for pre-filling.

- Select documents with fillable fields and click **Apply**.

- Click **Select Fields** to open the document's fillable fields available for mapping. Check the fields you want to pre-fill. Click **Apply**.

- Next, select the NetSuite fields for data binding.

Click the dropdown arrow in the **Select NetSuite Field** column to select the field that will populate the fillable field in the document.

- Use the **Field Editing** column to define whether recipients can edit the pre-filled data (**Allow Editing** is enabled by default).

> You can configure data mapping to either pre-fill the document only or both pre-fill the document and update the connected NetSuite field. Click the arrow in the second column to adjust the mapping behavior. By default, mapping only pre-fills the document.

- Click **Save** to save field mapping.

### Pre-fill from related fields

With the SignNow integration, you can pre-fill document fields or [generate tags](/docs/netsuite-document-flows#pre-fill-recipient-emails-using-tags) using related NetSuite fields, selecting either the field name or the field ID.

> Related fields are linked to other NetSuite records or entities through record relationships or joins.

For example, a Sales Order record includes related fields such as Customer, Items, Subsidiary, and Terms. These fields connect the sales order to other records, making it easier to track relationships across transactions, customers, and items.

Examples of record types with related fields :

- Transaction records (Sales Order, Invoice, Purchase Order, Expense Report)
- Entity records (Customer, Vendor, Employee)
- Item records
- Project /Job
- Support Case

To use a related field for pre-filling or tag generation, select the field name:

- To pre-fill with the related field **name**, select the field ending in `__name`.
- To pre-fill with the related field **ID**, select the field without `__name`.

In the screenshot below, `subsidiary__name` pre-fills the document field with the subsidiary name, while `subsidiary` pre-fills the document field with the subsidiary ID.

> Related fields ending in `__name` cannot be used for record updates.
